How to Create an Event Form in the Library

What is this for?

An Event Form is a complete event registration solution that includes a subscription form, automated email journeys (welcome emails, reminders, follow-ups), and status management. Use this when you need to run a full event lifecycle — from registration to post-event communication.


Step-by-Step Instructions

1. Open the Events Library

  1. In the left sidebar, click Events Library (calendar icon).
  2. You will see the library dashboard with your existing events and forms displayed as cards.

2. Start Creating a New Event

  1. In the top action bar, click the Create button (green button with a plus icon, labeled Create Event).
  2. A dropdown menu opens with two options:
    • Create Default Event — creates a standard event with a registration form and email journey.
    • Create Default Form — creates a standalone custom form (see separate guide).
  3. Select Create Default Event.

3. Fill in Event Metadata (Step 1 of 4)

You are taken to the Event Constructor — a step-by-step wizard. The first step is Metadata Setup:

  1. Event Name — Enter a clear, recognizable name (e.g., "Tech Conference 2024"). This name appears on the card in the library and in the subscription link.
  2. Start Date — Pick the date when registration opens or the event begins.
  3. Timezone — Select the timezone for date/time display. Defaults to your account timezone.
  4. Expiration Date (optional) — Set a date when registration automatically closes. If set, the event will automatically switch to "Finished" status on this date.
  5. Password Protection (optional) — Toggle Enable Password to make the event private. Enter a password. Subscribers will need this password to access the registration form.
  6. Notify Me When Done — Enable to receive a notification when a registration is completed.
  7. Click Next to proceed.

Note: The event name must be unique within your account. The system will warn you if a duplicate name is detected.

4. Build the Registration Form (Step 2 of 4)

Click the Form Setup tab in the sidebar (form icon). This is where you design what attendees see and fill out.

Add Form Fields

  1. In the Create Field dropdown, choose a field type:
    • Text Field — Short text input (name, company, phone).
    • Text Area — Longer text input (comments, bio).
    • Email — Validated email input (required for subscription confirmation).
    • Select (Dropdown) — Single-choice dropdown. After selecting, you must link it to a Catalog (see below).
    • Checkbox Group — Multiple choice checkboxes.
    • Date Picker — Calendar date selection.
    • Button Action — A clickable button (e.g., "Submit", "Register").
  2. Click Create Field. The field appears in the form preview area.
  3. Click any field in the preview to edit its settings:
    • Label — What the user sees.
    • Placeholder — Hint text inside the field.
    • Required — Toggle on if the field must be filled.
    • Character Limit — Max length (e.g., 255 for text fields).
    • For Select fields: Choose a Catalog from the list or create a new one.

Manage Catalogs (Dropdown Options)

  • Below the field creator, you see All Catalogs — your global dropdown option lists.
  • Click + Add Dictionary next to a catalog to link it to a Select field.
  • To create a new catalog: Click Create Catalog, name it, and add items (options) in the popup.
  • Used Catalogs shows only catalogs currently linked to fields in this form.

Tip: Create catalogs before adding Select fields, or create them on the fly via the + Add Dictionary button.

5. Configure Email Journey (Step 3 of 4)

Click the Journey Setup tab (email icon). This step is only available for Event types (not for standalone Forms).

  1. Select Existing Journey — If you have pre-built email sequences, pick one from the dropdown.
  2. Create New Journey — Click Create New Journey to open the Journey Editor. Build a sequence of emails (welcome, reminder, follow-up) with triggers and delays.
  3. Copy from Another Event — Click Copy Journey from Event to reuse an email sequence from a different event in your library.

Important: An Event must have a journey attached before it can be activated. If you skip this step, the Check & Activate button will be disabled.

6. Set Up Integrations (Step 4 of 4) — Optional

Click the Integration Setup tab (plug icon). Configure webhooks or third-party connections (e.g., CRM, Zapier) to send subscriber data elsewhere automatically.

7. Save and Activate

  1. After completing all steps, click Finish (or Check & Activate on the last step).
  2. The system validates your setup:
    • All required metadata filled?
    • Form has at least one field?
    • Journey attached (for Events)?
    • No spam-filter violations in email content?
  3. If validation passes, the event is created with status Created.
  4. To make it live: Find the event card in the Library, open the three-dot menu (⋮), and click Activate. The status changes to Active, and the subscription link becomes public.

Important Rules & Tips

Note: The event name is limited to 255 characters.

Note: You cannot delete an Active event. You must Stop it first (menu → Stop), then Delete.

Note: Password-protected events show a lock icon on the card. Share the password with intended attendees only.

Note: The subscription link format follows a standard pattern. Copy it from the card menu → Copy Link.

Tip: Use Copy Event (card menu) to duplicate an entire event setup — metadata, form, journey, and integrations — then just rename and adjust dates.

Tip: The Subscribers Count on the card shows total registrations. White List Count (light red) shows manually added subscribers.


Common Questions & Troubleshooting

Q: Why can't I click "Check & Activate"?
A: You likely missed a required step. Check:

  • Event name, start date, and timezone are filled.
  • Form has at least one field (Email field is recommended).
  • A Journey is selected or created (Events only).
  • No spam-filter words in email templates (e.g., "crypto", "win prize", "investment").

Q: Why is my event stuck in "Created" status?
A: "Created" is a draft state. You must manually click Activate in the card menu to make it live.

Q: Can I edit an Active event?
A: Yes, click Edit in the card menu. Changes to the form or journey apply immediately. Metadata changes (name, dates) also update instantly.

Q: What happens when I set an Expiration Date?
A: The system automatically changes the event status to Finished on that date. Registration closes, and the subscription link stops working.

Q: I get a "Spam filter" error when activating. What do I do?
A: The email content (subject or body) contains a blocked word. The error popup lists the flagged words. Edit the journey emails to remove those words, then retry activation.

Q: How do I stop an event registration without deleting?
A: Card menu → Stop. Status becomes Stopped. Subscribers can no longer register. Click Activate again to resume.

Q: Where are my event cards sorted?
A: By default, newest first (created date descending). Use the Sort options or Filters to change the view.
