Files Library
What is this for?
The Files Library is your personal media storage where you upload and manage images used across your events, registration forms, and email templates. All images stored here are instantly available for selection in the Event Constructor, Form Builder, and Email Template editor — no need to re-upload the same file multiple times.
Step-by-Step Instructions
1. Open the Files Library
- In the main navigation menu, click Files Library.
- The page opens showing a grid of your uploaded images. If the library is empty, you will see a message prompting you to add your first image.
2. Upload a New Image
- In the top action bar, click the Upload button (plus icon).
- A file upload popup appears with the title Upload file.
- Click the upload area or drag and drop an image file.
- Select a file from your computer. Only JPEG, PNG, WebP, and SVG files are accepted. Maximum file size is 2 MB. Images are automatically resized to a maximum width of 1200 px and compressed to 80% quality upon upload.
- Click Upload to add the file to your library.
- A success notification appears, and the new image appears in the grid.
3. Search for an Image
- In the top action bar, use the Search by name field.
- Type part of the file name. The list filters instantly to show only matching images.
- Clear the field to see all images again.
4. Manage an Image (Actions Menu)
Each image card has a three-dot menu in the top right corner. Click it to reveal available actions:
- Remove — Permanently deletes the image from your library. A confirmation dialog appears. Click Remove to confirm or Cancel to keep the image.
- Copy link (Admin only) — Copies the direct CDN URL of the image to your clipboard. A success toast confirms the link was copied.
5. Use an Image in Event Constructor, Forms, or Email Templates
- Open the Event Constructor, Form Builder, or Email Template editor.
- When adding an image component or setting a logo/background, click the Choose from Library button.
- A picker opens showing all images from your Files Library.
- Select one or multiple images (depending on the component).
- Click Select to insert the image.
Important Rules & Tips
Note: Only image files are supported. Documents, PDFs, videos, and other file types cannot be uploaded to the Files Library.
Note: Maximum file size is 2 MB. Files larger than this limit will be rejected with an error message.
Note: Allowed formats: JPEG (.jpg, .jpeg), PNG (.png), WebP (.webp), SVG (.svg). Other formats will not be accepted.
Note: Images are automatically optimized upon upload — resized to a maximum width of 1200 px and compressed to 80% quality — to save storage space and improve loading speed in your events and emails.
Note: Your subscription plan limits the total number of images you can store. The limit depends on your plan. When you reach the limit, the Upload button will be disabled and an error message will appear if you try to upload more.
Note: Deleting an image from the Files Library does not automatically remove it from events, forms, or email templates where it is already in use. However, the image will no longer be available for new selections.
Note: The Copy link action is only visible to users with an Admin role. Regular organizers will not see this option.
Tip: Use clear, descriptive file names when uploading. This makes searching by name much faster when your library grows.
Common Questions & Troubleshooting
Why can't I click the "Upload" button?
You have reached the storage limit for your current subscription plan. Upgrade your plan or delete unused images to free up space.
Why does my upload fail with an error?
Check that your file is one of the allowed formats (JPEG, PNG, WebP, SVG) and does not exceed 2 MB. Also verify your internet connection is stable.
I deleted an image but it still appears in my event/email.
Deleting from the Files Library only removes it from the library itself. The image remains in any event, form, or email template where it was already placed. To fully remove it, you must also edit those items and replace or remove the image there.
Can I upload multiple images at once?
Currently, the upload popup accepts one file at a time. Repeat the upload process for each additional image.
The "Copy link" option is missing from the menu.
This option is only available to users with the Admin role. If you are an organizer on a standard plan, you will not see it.
How do I know which plan I'm on and what my limit is?
Your current plan and its limits are shown in your account settings under Billing & Plan. The Files Library will also display a warning when you are close to your limit.
Can I organize images into folders?
The Files Library does not currently support folders or albums. All images are displayed in a single grid, sorted by upload date (newest first). Use the search field to find images quickly.
Is there a "Preview" option for images?
The preview action is currently not available in the image actions menu. You can see a thumbnail of each image directly in the library grid.
