Using Filters in the Events Library

What is this for?

The Filters panel in the Events Library lets you instantly narrow down the list of events and forms. Instead of scrolling through dozens of cards, you can filter by name, status, and content type (Event vs. Form) to find exactly what you need in seconds.


Step-by-Step Instructions

1. Open the Events Library

  1. In the left sidebar, click Events Library (calendar icon).
  2. At the top of the page, above the cards grid, you will see the Action Panel with filter controls.

2. Filter by Name (Search)

  1. Locate the Search by Name field (text input with a magnifying glass icon, placeholder: "Filter by name...").
  2. Type any part of the event/form name.
  3. The list updates in real-time — only cards whose names contain your text remain visible.
  4. Click the X icon inside the field to clear the search.

Tip: Search is case-insensitive and matches partial words. "conf" finds "Tech Conference 2024" and "Conference Room Booking".

3. Filter by Status

  1. Click the Status dropdown (labeled "Filter by status").
  2. Select one or more statuses from the list:
    • Active — Currently accepting registrations/submissions.
    • Stopped — Manually paused by you.
    • Finished — Completed (expired date reached or manually finished).
    • Created — Draft state, not yet activated.
    • Closed Subscribe — Registration closed, but not finished.
  3. Multiple selections work as OR logic (shows cards matching any selected status).
  4. Click outside the dropdown or press Esc to close it.
  5. To clear: open the dropdown and click the X on each selected chip, or use the Clear All option if available.

Note: The status filter checks the system directly. Results reflect the current state.

4. Filter by Content Type

  1. Click the Type dropdown (labeled "Filter by type").
  2. Select one or both:
    • Event Form — Full events with registration form + email journey (calendar icon on cards).
    • Custom Form — Standalone forms without email journey (list icon on cards).
  3. Multiple selections work as OR logic.
  4. Close the dropdown to apply.
  5. Clear the same way as Status filter.

Tip: Combine Type + Status for precision. Example: Type = "Event Form" + Status = "Active" shows only live events.

5. Combine Filters

All three filters (Name, Status, Type) work together as AND logic:

  • Name contains "summer" AND Status is "Active" AND Type is "Event Form"

The card grid updates automatically after each filter change. A loading spinner appears briefly while data loads.

6. Reset All Filters

  • Clear the Name field (click X).
  • Clear Status and Type dropdowns (remove all selected chips).
  • The full unfiltered list returns.

Important Rules & Tips

Note: Filters are not saved when you leave the Library page. Returning later shows the full unfiltered list.

Note: The Status filter uses the exact status values from the system. The dropdown shows human-readable labels in your language.

Tip: Use Search by Name as your primary quick-find tool. It's the fastest way to locate a specific event/form.

Tip: The Type filter is especially useful when you have many Custom Forms mixed with Events. The card icons (calendar vs. list) also give a visual cue.

Tip: If the list seems empty but you know items exist, check if a Status filter is accidentally limiting results (e.g., only "Active" selected but your event is "Created").


Common Questions & Troubleshooting

Q: I typed in the search box but nothing happens.
A: The search debounces slightly (waits for you to stop typing). Wait a moment. If still no results, check if a Status or Type filter is hiding them.

Q: Can I filter by date range (e.g., events starting this month)?
A: Not currently. The available filters are Name, Status, and Type only. Sort by "Start Date" (if available in sort options) to bring upcoming events to the top.

Q: Can I filter by owner/creator?
A: No. The Library only shows events/forms you created (or have access to). You won't see other users' items.

Q: The dropdown shows "No options" or is empty.
A: This shouldn't happen — Status and Type dropdowns have fixed options. Try refreshing the page. If persistent, contact support.

Q: Does clearing the search box automatically reset Status and Type filters?
A: No. Each filter is independent. Clear each one separately.

Q: How many items can I filter at once?
A: No practical limit. The system handles pagination (25 items per load, infinite scroll). Filters apply to the full dataset before pagination.
