Understanding Event Cards in the Library

What is this for?

Each Event Card (or Form Card) in the Events Library is a compact visual summary of one event or custom form. It shows the most important information at a glance and provides quick actions via a dropdown menu. This guide explains every element on the card so you can read and use them efficiently.


Card Layout Breakdown

1. Event/Form Name (Top)

  • What you see: The name you gave the event/form.
  • Truncation: Names longer than 11 characters show an ellipsis (...). Hover to see the full name in a tooltip.
  • Icon next to name:
    • Calendar icon (📅) = Event (has email journey).
    • List icon (📋) = Custom Form (standalone form, no journey).

2. Content Type & Status Badges (Below Name)

Two badges sit side by side:

  • Left badge (Content Type): Shows the localized type name:
    • "Event Form" / "Forma de Evento" / "Форма Події"
    • "Custom Form" / "Forma Personalizada" / "Кастомна Форма"
  • Right badge (Status): Colored indicator with status name:
    • GreenActive (accepting registrations/submissions)
    • Red/PinkStopped or Closed Subscribe (paused/closed)
    • Yellow/AmberFinished (completed/expired)
    • GrayCreated (draft, not activated)

Tooltip: Hover the status badge for a detailed description (e.g., "Event is active and accepting subscribers").

3. Date Information (Center, Conditional)

  • Appears only if the event/form has a Start Date or Expiration Date set.
  • Shows the nearest relevant date (Start Date if in future, Expiration Date if approaching).
  • Tooltip on hover reveals the full label: "Start Date: ..." or "Expiration Date: ...".
  • Uses your account timezone for display.

4. Status Indicator Dot (Top-Left Corner)

  • A small colored circle (10px) in the top-left of the card.
  • Colors match the status badge:
    • Green = Active
    • Red = Stopped / Closed Subscribe
    • Yellow = Finished
    • Gray = Created
  • Quick visual scan: you can see status distribution without reading text.

5. Subscriber Counters (Top-Right Area)

  • Subscribers Count (dark gray icon + number) — Total registrations/submissions.
    • Shows only for statuses: Active, Finished, Stopped, Closed Subscribe.
  • White List Count (light red/pink icon + number) — Manually added contacts (bypassed form).
    • Shows only if > 0.
    • Appears lower-right on the card.

6. Private Event Lock Icon (Top-Left, Near Status Dot)

  • Lock icon appears if the event/form has a password set.
  • Tooltip on hover: "This event/form is password protected."
  • Only visible when password protection is enabled.

7. Three-Dot Menu (⋮) — Actions Dropdown (Top-Right)

Click to reveal available actions. Actions vary by type (Event vs. Form) and status.

Note: Journey action is exclusive to Events. Custom Forms don't have email journeys.


Card Interaction Details

Edit

  • Opens the Event Constructor wizard pre-filled with the event/form data.
  • You can modify metadata, form fields, journey (Events), integrations.
  • Changes save automatically as you go (auto-save).

Copy

  • Shows a confirmation dialog: "Are you sure you want to copy this event/form?"
  • Creates a duplicate with name "Copy {original name}".
  • Resets: status → Created, dates cleared, journey link removed (Events), subscribe link regenerated.
  • Subscriber counts reset to 0.

Subscribers Details

  • Navigates to the Subscribers Details page for that event/form.
  • Shows a table with all submissions, columns matching your form fields.

Preview

  • Opens the public-facing subscription page in a new tab/route.
  • Lets you see exactly what your attendees will see.
  • Does not count as a real submission.

Copy Link

  • Copies the subscription URL to clipboard.
  • Shows a success toast: "Link copied successfully".
  • Only works for Active items (inactive items don't have a public link yet).

Remove (Delete)

  • Shows a confirmation dialog.
  • Permanently deletes the event/form and all its data (subscribers, journeys, charts, agenda jobs).
  • Cannot be undone.
  • Only available when status is NOT Active (safety guard).

Stop (Events & Forms)

  • Opens a Stop Event Popup with options:
    • Send notification email? (toggle)
    • Email subject/body (if notification enabled)
    • Stop without email option.
  • On confirm: status → Stopped, agenda jobs (mailer, status) removed.
  • Can be resumed later via Activate in menu.

Journey (Events Only)

  • Opens the Journey Editor for the linked journey.
  • Only appears if a journey is attached.

Important Rules & Tips

Note: Cards have a fixed width of 250px. The grid wraps responsively. On narrow screens, fewer cards per row.

Note: The Status Dot and Status Badge always stay in sync. They use the same color mapping.

Tip: Use the Status Dot for rapid scanning. Green dots = live items needing attention.

Tip: Copy Link is the fastest way to share a registration URL with a colleague or paste into a marketing email.

Tip: Preview lets you test the form flow without creating test data.

Tip: The Journey button (Events only) is a shortcut — otherwise you'd have to go to the Journeys page and search by ID.

Warning: Remove is irreversible. There is no trash bin or recovery. The confirmation dialog is your last chance.


Common Questions & Troubleshooting

Q: Why don't I see a date on my card?
A: The date only appears if you set a Start Date or Expiration Date in Metadata. If both are empty, no date shows.

Q: The subscriber count seems wrong.
A: The count updates in real-time via the system. If it looks stale, refresh the page. The White List Count only increments when you manually add a contact via the Subscribers Details page.

Q: I clicked Copy Link but nothing happened.
A: Check if the event/form is Active. Copy Link only works for Active items. Also check browser clipboard permissions.

Q: Why is the Journey button missing on my Event?
A: The event doesn't have a journey linked yet. Go to Edit → Journey Setup step and select or create a journey.

Q: Can I reorder cards?
A: Not manually. Cards sort by Created Date descending (newest first) by default. Use Filters to change what you see.

Q: The lock tooltip says "Private form" but I didn't set a password.
A: Check Metadata → Password Protection. It may have been set during creation or by a collaborator. Toggle it off to remove.

Q: What does "Closed Subscribe" status mean?
A: Registration is closed, but the event isn't marked Finished. It's a manual closure state. Subscribers can't register, but the event still exists.
